This checklist is the tick-off companion to the rollout guide: from the decision to a working system, every step is one row. Print it out or copy it into your project notes – most rows are my job, and the decisions are left for your company.
In short:- Three stages: preparation → signing → ongoing operation – a few hours of company time altogether.
- For the communication rows, there's a ready-made sample text at the end of the article.
- The framing for the tax row: under the tax rules in force, agreed with your accountant.
Preparation
- ☐ Assessment conversation (20-30 minutes): headcount, activities, occupation categories, shift patterns.
- ☐ Decision criteria recorded: occupational-only or 24-hour cover; uniform amounts or amounts by category.
- ☐ Receive the offer table – several insurers, compared by content: the logic of the criteria table.
- ☐ Discuss the variants, and make the decision.
- ☐ Accountant round: agree the tax treatment of the chosen structure – under the tax rules in force (the question list is here).
Signing
- ☐ Define the group of insured people: the whole workforce or fixed categories.
- ☐ Put together the name list with the requested details (or record the occupation-group definition).
- ☐ Decide how beneficiaries will be handled (good practice: let each employee designate their own).
- ☐ Sign the contract; carry out the policy check: categories, amounts, and scope of cover match the agreement.
- ☐ Record and note down the start of cover.
Communicating with the team
- ☐ Send out the announcement (sample below).
- ☐ Explain how to report a claim: the insurer's claims hotline plus who to ask internally with questions.
- ☐ Add the briefing for new hires to the onboarding package.
Ongoing operation
- ☐ A monthly routine with a named owner: reporting new joiners, removing leavers.
- ☐ An annual review in the calendar: headcount, changes in activity, amount levels – following the annual-review logic.
- ☐ One reminder a year to the team about the benefit (this is what the retention effect rests on).
Sample text for the announcement
“Dear Team, from now on group accident insurance protects you: for accidents that happen [during working hours / 24 hours a day], it pays fixed amounts for the events set out in the policy [e.g. bone fracture, hospital stay, surgery, permanent disability – fill in to match your policy]. You're automatically covered, with no separate contract for you to sign – the only thing to do is fill in the beneficiary declaration (if the insurer asks for one), and [name] will send you the form for that. If an accident happens, the claim has to be reported on the insurer's claims hotline – you'll find the contact details and more information at [location], and questions go to [name]. Take care of yourselves – but if something does happen, at least from now on it isn't a financial problem too.”
